From Paper Chaos to Digital Clarity: How MDX Imaging Center Streamlined Time Tracking with ezClocker

When April Mills started her position as director at MDX Imaging Center in Guam in 2024, she immediately noticed one thing: everything ran on paper. Her staff wrote down everything from time sheets to time-off requests. Then, they filed them away, and eventually, lost them in the shuffle of daily office life. With limited options available on Guam, she needed a solution that digitized the process, while still being easy to use and implement. After trying several other options, it didn’t take long to realize that ezClocker, with its easy-to-navigate interface and additional features like GPS verification, was just what MDX Imaging Center needed to retire their paper systems for good.

An Outdated (& Costly) System

MDX Imaging Center, located in Guam, has been serving patients since 2010. Their 15-person team provides everything from breast imaging to ultrasounds to MRIs. When April arrived last year, though, she discovered the center clearly needed an upgrade when it came to time-tracking. 

Though the equipment was high-tech, their time-tracking systems were not. Employees tracked hours and time-off requests using paper. Between the hours it took to manage the process and the cost of paper on the island, it was a costly (and outdated) process. 

“Paper on the island is so expensive,” April says. “…Timesheets, everything was written down on paper, and then not only did we have the paper stacking up, but we had to keep the paper for all of this time, and I couldn’t deal with that. We needed a solution.”

Their old system also relied on a broken fingerprint time clock that employees had to physically touch to clock in. If employees forgot to use the electronic time clock or it was broken, they had to manually write down their hours. And, when the time clock was working, April and her staff still needed to download and print out the data. 

April needed a better system: one that was easy to use, digital, and worked on the island.

A Search for Something Better

April was familiar with modern time-tracking systems, like Kronos and Workday, from her experience on the mainland. It was hard, though, to find a solution that was available on Guam. When she did find options that worked on the island, she used free trials to test them out. But that led to another problem: the constant rotation meant having to retrain employees on a new time-tracking system every 30 days. 

She needed to find a tool the MDX Imaging staff could learn thoroughly and use permanently. When someone recommended ezClocker, she decided to invest in a plan to give it a try. “We did not have many options. I knew it was working for others, so we jumped on it,” April says.

At the time, MDX had 15 employees, a mix of hourly and salaried staff. April quickly implemented ezClocker’s digital clock-in process by placing a tablet right near the old, half-broken electronic fingerprint time clock. They’ve since switched to tracking on the web and phone. 

The switch was seamless. “They’ve been really open to the digital aspect. Most of them love it,” April says. “When I came in, I said we were going to do things slowly, but they’ve been so open to change that we’ve gone quickly.”

In the past, some employees would clock in on their way to the office, before they’d actually sat down to begin work. Though the time increments were small, it was still costly. “Those 15 minutes may not seem like much, but they add up,” April says. 

Nina agrees. She often had to update time cards manually for employees who hadn’t clocked in, and she had to rely on their memory, not data, to determine when they actually arrived.  “Before, workers would come to me at the end of the day saying they forgot to clock in and couldn’t remember what time they came in,” Nina says. “Now it’s easier. They remember right away, and I can fix it right there.”

ezClocker worked so well that they upgraded to the standard plan, even though they have less than 30 employees. The added benefits, like time off requests, made the change worth it. 

With their paper system, leave requests were yet another thing to track. Requests were lost or forgotten when written on paper slips, leading to last-minute scheduling shuffles. Now, they create and track all time-off requests in the app. 

The result? Accountability for every employee at MDX Imaging Center. With everything at their fingertips, it’s easier than ever to track time, manage leave requests, and serve their patients.

After just over a year, MDX has fully embraced the digital shift. There’s less stress…and a lot less paper. They clock in and out using ezClocker and submit leave requests there, too. “The fact that it’s on our phones and computers, you can’t forget to clock in and out anymore,” Nina says. “Everything is easy.”

And it gives the entire staff more time to work on other things, like providing exceptional care to patients who need it.
